Transportation Policies

Use of Personal Vehicles

In addition to the general requirements for vehicle use, the following applies to the use of personal vehicles for MICA-related business and MICA-related activities:

Insurance

In the event of an accident involving a personal vehicle, even if it occurs while driving on college-related business or college-related activities, the vehicle owner’s insurance policy will serve as the primary source of coverage for personal liability and collision damage. Because of this, personal vehicles may not be driven on college-related business or college-related activities without current and adequate insurance. If the driver is not the owner of the personal vehicle, that driver must be a covered or permitted driver under the insurance policy. With this in mind, MICA strongly recommends that drivers of personal vehicles have adequate vehicle insurance coverage, especially if they are employees who plan to drive colleagues and/or students in the course of their business-related or activities-related travel. For information on adequate levels of coverage, see “Addendum A - Recommended Personal Insurance Limits for the Use of Personal Vehicles” at the end of this policy.

Accident Report Forms

MICA recommends that employees using personal vehicles to transport others for college-related business or activities obtain a “MICA Accident Report Form” to assist with information taking in the event of an accident. These forms may be kept in the glove compartment, and are the same forms that are in every MICA-owned vehicle. They may be found here.

Driver Authorization of Personal Vehicles

Under this policy, MICA employees driving their own personal vehicles do not need to obtain a Motor Vehicle Record (MVR) review unless they are driving students on college-related business or college-related activities.
