Use of College-Owned Vehicles

General Requirements:

  1. All college employees (staff and faculty) must get authorization to drive a MICA-owned vehicle, including having a Motor Vehicle Record (MVR) review processed through Human Resources. The cost of the MVR will be charged to the department requesting the driver.
  2. Authorized drivers must take driver training assigned by the Campus Services Office within thirty (30) days of becoming authorized. Training is comprised of four on-line courses that total less than an hour.
  3. Drivers may not use a college-owned vehicle for personal use, including, but not limited to:
    • Transporting friends or family members.
    • Running errands to shop or picking up lunch.
    • Any other form of non-college business activity.
  4. Departments must have vehicles maintained with regular, routine maintenance. Contact the Transportation Department for a list of approved service shops.
  5. All drivers must perform a basic vehicle review before their first use of the vehicle for the day. A vehicle review checklist is available at the end of this policy to assist in identifying parts that need to be inspected. This includes inspecting the following parts and components to make sure they are in proper working order:
    • Tire Condition and Tire Pressure
    • Brake Lights
    • Head Lights
    • Directional Signals
    • Horn
    • Windshield Wipers and Washers
    • Rear-view and Side-view mirrors
    • Under carriage leaking
    • Seat belts
    • Insurance card and Accident Report Form
  6. Vehicles found to be deficient in any of these or other areas should be reported immediately to their supervisor and may not be operated for college-related business or college-related activities until conditions are rectified. Completed checklists should be filed with the department for the length of one year.
  7. Departments must maintain documentation of training of authorized drivers. Vehicle registration information and maintenance records will be maintained by the Transportation Department. Vehicle registration and maintenance costs are the responsibility of the department that purchases and utilizes the vehicle.

Approved Driver Training:

  1. All authorized drivers of college-owned vehicles must complete a series of on-line driver safety trainings at safecolleges.com within thirty (30) days after being authorized to drive. Training modules are relatively short (approximately 10-15 minutes each) and combined are less than an hour long. A training program will be set up for you by your supervisor with the assistance of the Campus Services Office. Records of completed training are to be maintained by the department supervisor and training must be completed annually.
  2. Employees who drive students as part of MICA related business or activities must also complete driver training. Trainings will be set up through coordination with HR or Campus Services upon your request to become an approved driver.
