Residence Life & Facilities Management Work Order Request

Dear MICA Community,

The Operations Division and the Facilities Management Department is pleased to inform the MICA community that we will be changing over to a new (and improved) work order management system. Beginning on 1 June, 2010, the Maintenance Connection work order management system will replace the WebTMA system that has been in use for several years at MICA. The new Maintenance Connection system is very user friendly and will allow you to track the progress of your work requests. You will also receive updates on the status. In order to be able to log-on to the new system, please follow the instructions below to get connected initially:

  1.  In your Internet Explorer web browser, navigate to https://www.maintenanceconnection.com/mcv18/online/mc_login.htm
  2. Click on the "Sign Up for the First Time" or "Want to Sign Up?" link at the bottom of the page.
  3. Specify "I am not a member of Maintenance Connection," and then click the "OK" button.
  4. When prompted for a connection key, you should enter: MIOA (not MICA).
  5. Fill out the member profile information page, and click the OK button.
  6. Once you finish the signup process, you will receive an email stating that you need approval.
  7. You will receive an email when your new account is approved and you can then begin submitting maintenance requests electronically.

After the initial setup, all you will need to do to submit a work request is to go to the Maintenance Connection web page and log-in. You can start using Maintenance Connection right now. You will also be able to continue to submit your work requests using WebTMA until 1 June. Beginning on 2 June 2010, you will no longer we able to submit work requests using WebTMA, our old system. We would also like to remind you that work requests should be submitted for any work that you wish to have done by the Facilities Management Department (including the Physical Plant, EHS, Student Housing Maintenance, Building Services, and Buildings & Grounds). The only exception is emergency work that must be completed immediately - emergency requests should be called in.

Before submitting a work order please note the following:

  • Confer with roommates to decide who will submit the request to avoid duplicate requests.
  • The boxes indicating who you are, your phone contact, and especially your email for confirmation of acceptance have to be be filled out. You will not be able to submit the work order if this information is not filled out.
  • Include all pertinent information in the large highlighted "Short Description" text box (Who, What, Where, When, and Why).
  • Please be as complete and descriptive as possible. Proofread to avoid confusion and so the work order can be completed as efficiently as possible. Work orders containing inappropriate language will not be honored. Please be patient and do not resend the same work order.

Emergency Work Orders

Please keep in mind that the Maintenance Connection system is for all NON-EMERGENCY requests only. For requests such as power outages, temperature control, immediate hazards, flooding, or anything that prevents the function of your apartment, please contact your appropriate Front Desk:

Checking the Status of a Work Order

Anyone who submits a request can log on later to check status of that request or work order. After logging on to the request page, there are small tabs at top of page. Click on status tab. Enter your request number or work order number in the appropriate window for a status report.

Work orders will be completed first by order of urgency and second by order recieved. Work orders will be addressed within three days of submission, however large work loads and higher priority work orders may cause this time period to be extended.
