Policies

Reservations

There are two types of reservations: general rental equipment reservations for faculty, staff and students (which must be made in advance and picked up from the main A/V tech desk), and classroom equipment reservations for faculty and staff (which must be made in advance and may be scheduled for delivery).

Smart Classrooms

Smart classrooms are defined as campus rooms that include some or all of the following audio/visual equipment:

  • Computer
  • LCD Projector
  • Slide Projector
  • DVD Deck
  • VHS Deck
  • Audio System

Audio/visual equipment permanently assigned to a smart classroom may only be used in that designated location. Removal of this equipment without prior authorization from the Director of AV Services is considered vandalism.

The Rental Office

You may make reservations and pick up equipment at the AV Services Tech Desk, which is located in the Art Tech Center at 1208 W. Mt Royal. The hours of operation will always be posted on the front door to the office, and on website.

Inclement Weather Policy

When classes have been cancelled due to weather, AV Services will not keep current regular hours. Unless otherwise posted, the tech desk will close at 4:30 PM on these days. Any equipment reservations for times that are closed due to bad weather will be deleted and equipment that is due when AV Services closes due to bad weather will be due during the first hour of operation the following day. Fines will be excused in these situations.

Holiday Hours

During official MICA holidays, our offices will be closed. Over official college breaks, (e.g. winter break, spring break, fall break), AV Services will shorten their hours of operation -- these hours will be posted at least seven days in advance. If you are faculty or staff, and you have meetings requiring tech services scheduled that begin earlier or end later than our posted hours of operation, it is your responsibility to email AV Services (avservices@mica.edu) at least one week (7 days) in advance, so that the necessary arrangements can be made.
